Is there a school or education price for Heirloom?

Accepted Answer

There is no separate price list for schools. Write to info@heirloom.ag with a few words about your school and its garden, and the team will answer you. A school farm starts like any farm, with a free 30-day trial and no credit card. Students and teachers join the school’s farm as team members, at no extra cost. Does Heirloom teach JM Fortier’s market gardener method?

Accepted Answer

Heirloom applies the method rather than teaching it. JM Fortier co-founded Heirloom and his way of growing is built into its defaults; the method itself is taught in his book The Market Gardener and at the Market Gardener Institute. Standard beds, tight successions and planned rotations are what Heirloom proposes by default. An experienced grower changes any of it. For a market gardening course, the school’s farm invites its students, who follow the real plan. See Teach market gardening or advise farms .

Does Heirloom offer a discount for non-profit organizations?

Accepted Answer

Yes, Heirloom has a non-profit program. Write to support@heirloom.ag with a few words about your organization and your garden, and the team will tell you how to get the non-profit discount on your subscription. How subscriptions work is in Understand your trial and subscription .

How do I cancel my Heirloom subscription?

Accepted Answer

In a few clicks, and your work stays stored in case you come back. The owner opens Settings from their profile picture, then Subscription under Billing , and clicks Cancel . If you return, Renew subscription brings the farm back as you left it, with its seasons, plantings, tasks and harvests. More in Understand your trial and subscription .

Where do I find my invoices?

All in one place, as PDFs ready for your bookkeeping. As the owner, click your profile picture, then Settings , then Invoices under Billing : each invoice opens or downloads as a PDF. Can I pay yearly instead of monthly?

Accepted Answer

Yes: pay once for the year or month by month, whichever suits your cash flow. As the owner, click your profile picture, then Settings , then Subscription under Billing . Choose Monthly or Yearly , add a code under Have a code? if you have one, then subscribe. You can cancel at any time. Once subscribed, the same section shows your plan and next billing date. Do I lose my farm plan if my trial or subscription ends?

Accepted Answer

No, nothing is deleted: your seasons, plantings, tasks and harvests wait for you. The farm goes on hold, and anyone who opens it lands on a page that says so. The owner clicks Renew subscription and the whole team gets access back at once, with the plan as they left it. Meanwhile, teammates can use Switch farm to keep working on another farm. How long is the free trial, and do I need a credit card?

Your first farm gets 30 days free, with no credit card: enough time to plan a real season before you decide. Sign up with your email and start planning. Each farm you add later starts with a 7-day trial. As the owner, you see the days left in Settings , then Subscription under Billing , reached from your profile picture. Can I hand my farm over to a new owner?

Not from the app: each farm has one owner, and nobody can change that role in Team . Support can look at your situation with you. If the farm is changing hands, or someone else needs to take over billing, write to support@heirloom.ag and tell us what you need. Roles are explained in Change a teammate’s role or access .

How do I leave or delete a farm?

Accepted Answer

Both take a click on My Farms , reached from Manage farms in the farm selector, so your list holds only the farms you work on. A farm you do not own has Leave this farm . Your access ends right away; to come back, you need a new invitation. A farm you own has Delete this farm , which asks for your password and cannot be undone. If the farm has a paid subscription, cancel it first in its subscription settings. You cannot delete the farm you are on: switch to another one first. Can I move a team member from one of my farms to another?

Accepted Answer

You do not need to: one person can work on several of your farms at once, with a different role on each, so the same crew lead can run both sites. Switch to the other farm, open Team from your profile picture and Invite them. If they no longer work on the first farm, Remove them there: they lose access to that farm only. Can I manage several farms with one Heirloom account?

Accepted Answer

Yes: one login, and one click to switch from one farm to the other, each keeping its own map, seasons and team. Open the farm selector at the top of the left menu, click Manage farms , then Create a new farm . Each new farm is a separate subscription that starts with a 7-day trial, with its own setup and its own team. You can own up to 5 farms; beyond that, contact support from the same window. What happens to someone’s tasks and notes when they leave the farm?

Accepted Answer

They stay on the farm, so your season’s history does not leave with the person. Remove takes away their access to this farm right away, and to this farm only; their tasks and the notes they wrote remain. The tasks that were assigned to them now show Not assigned . Filter on Not assigned and give the ones still to do to someone else with Assignee . To bring the person back, invite them again. Can I print the week’s tasks for my crew?

Accepted Answer

Yes: export the week as an Excel file and print it, so the crew has the plan in hand in the field. On the Week Board or the List , click Export , pick the week under Dates , narrow it by task type, Location or Crop if you want, and choose whether to include Completed and Canceled tasks. To print one planting’s task sheet, open the task, click the ... menu, then Print . This one is not available in Safari. More on the Week Board in Assign tasks to your team .

Can I add my own tasks, like repairs or weekly chores?

Yes, so everything the farm needs done sits in the same list as your crop work, not in your head. In Tasks , on the List or the Week Board , click Add task . In the Create ad hoc Task window, choose a Task category : General task for farm work not tied to a crop, such as fixing the irrigation or cleaning the wash station. Crop associated task to tie it to a Planting . Pick a task or type a new name, then add a Location , an Estimated time and a person under Assign to . For chores that come back, set a Recurrence : At a regular interval or Specific days of the week , with an End date within the season. Farm data > Tasks lists your task types with their average time. For a routine every planting of a crop should get, add it to that crop’s Tasks chart in Charts instead: Heirloom then creates it with each planting. Will my worker know when I assign them a task?

Heirloom sends no message, and nobody needs one: each person opens their own week with a filter. In Tasks : Filters , then Assignee , then their own name, shown as Me . The List and the Week Board then show only their tasks. The filter stays in place, so a worker who sets it once finds their week ready each time they open Heirloom. Check your name to see only your tasks The steps are in Assign tasks to your team .

How do I see everything one person has to do this week?

Accepted Answer

Filter by their name and you see their whole week in seconds. In Tasks , open Filters , then Assignee , and check the person’s name (yours shows as Me ). The List and the Week Board both keep only their tasks, and the filter stays in place until you clear it. Not assigned shows the tasks nobody has taken yet: handy on Monday morning to share out what is left. If tasks seem to be missing later, check Filters first. Can I assign tasks to each person on my crew?

Accepted Answer

Yes, and it takes the morning briefing off your shoulders. Heirloom creates the tasks from your plantings, you put a name on each one, and each worker filters the Week Board down to their own week, day by day. To assign a task, click it on the List or the Week Board , then click Assignee in the top row of its details and pick a person. Not assigned frees it again. For a recurring task, such as weekly weeding, choose whether the change applies to This task or to All tasks of the series. When you add a task by hand, fill in Assign to right away. Crew members and every role above them can be assigned; readers cannot. Can I use Heirloom with volunteers or WWOOFers?

Yes, at no extra cost, and without handing over your whole business. Invite each volunteer by email as a Crew member , who manages their own tasks without changing the crop plan, or as a Reader , who only looks. Turn on Hide monetary values so they do not see your prices and revenue. The subscription belongs to the farm, so extra hands do not change what you pay. Can I hide prices and revenue from my seasonal workers?

Accepted Answer

Yes: your crew sees the work, not your numbers. The owner turns on Hide monetary values when inviting someone, or later from the three dots on their row in Team . Amounts then appear blurred on that person’s screens; everything else stays the same, so they still see their tasks and the plan. Can I change someone’s role as the season goes on?

Yes, in a few clicks, so the role follows the person as they take on more. Click your profile picture, then Team . Click the three dots on the person’s row, choose Change role , pick the new role and click Update . The change applies the next time they open Heirloom. You can only change people below your own role: an administrator manages crew managers, crew members and readers, and nobody changes the owner. What can each person on my team see and change?

Each person gets one of five roles, so everyone has what their job needs and your plan stays safe from accidental changes: Owner : everything, including the team and billing. There is one per farm. Administrator : edits everything, with limits on the team and no access to billing. Crew manager : runs crop planning and tasks, without farm settings, team or billing. Crew member : manages tasks, without changing the crop plan. Reader : sees crop planning and tasks, and changes nothing. On top of the role, the owner can hide money values from any person. Do I pay more for each person on my team?

No. One price covers the whole farm, so your whole crew can work from the plan without raising the bill. The subscription belongs to the farm, not to the people. How many people can I invite to my farm?

As many as your farm needs: there is no limit, and no charge per person. One subscription covers the whole farm, whatever the size of your crew. Invite everyone who works with the plan, and give each person the role that fits: a crew member for the one who weeds and harvests, a reader for the partner who only wants to follow along. Can I invite someone who has never used Heirloom?

Yes, and it costs them nothing. Type their email in Invite team member and click Send invite . If they are new to Heirloom, the link in the email asks for their name and a password, then opens your farm. If they already have an account, your farm is added to their farms. How do I invite someone from my crew to my farm?

From Team , in under a minute: the person gets an email and joins the same plan as you. Click your profile picture at the top right, then Team , then Invite (only the owner and administrators see this button). Most of the handover is already done: Heirloom created the week’s tasks from your plantings, so your crew has the plan without you. What is left takes an afternoon, and you leave with less on your mind. Put a name on each task: click it, then Assignee , and pick the person. See Assign tasks to your team . Show each worker how to see their own week: in Tasks , Filters , Assignee , then their name. The Week Board then lays out their days. How does moving a planting change its climate-adjusted harvest date?

Heirloom works out the days to maturity again for the new week, so your harvest date stays true wherever you drag the planting. The first harvest can move by more or less than you moved the planting: sowing two weeks later in a cool spring may bring the harvest less than two weeks later, and a late summer sowing pushed back can slip further. The days to maturity now follow the field planting date The harvest window keeps its length and moves with the first harvest. The same happens when you change the Field planting date in the planting window, or update plantings from your Charts. See Use climate-adjusted days to maturity in a planting .

My carrots mature faster than Heirloom predicts. Can I correct it?

Accepted Answer

Yes, and your own records then drive every future harvest date. Change the crop’s or cultivar’s Average DTM in your Charts: Heirloom redraws its curve from your number, and new plantings follow it. The same carrot takes weeks longer sown in April than in June For the plantings already in your plan, update them from your Charts: those using climate-adjusted days to maturity are recalculated from the new average. For one planting only, turn Use climate-adjusted DTM off: its days to maturity go back to its previous number, which you can edit. The steps are in Read a crop’s DTM curve .

Does climate-adjusted DTM work in a greenhouse or tunnel?

Accepted Answer

They are built for crops in the open field, and under cover your own numbers are the better guide. A greenhouse or tunnel is warmer than the weather outside, so crops there usually mature faster than the prediction. For a planting in a greenhouse, Heirloom shows a message that the prediction may not be accurate. Tunnel plantings show no message, so keep in mind that the prediction is made for the open field. Under cover, leave Use climate-adjusted DTM off and enter the days to maturity you see in your own beds. See Understand the "Outside optimal period" warning .

What does the outside optimal growing period warning mean?

Accepted Answer

It tells you, before you sow, that this planting is set outside the weeks where the crop does well on your farm, so a risky date never slips by unnoticed. The message This planting is outside its optimal growing period shows under Use climate-adjusted DTM when the field planting date falls outside the crop’s Optimal Growing Period . Read this first harvest date as the earliest you can hope for Read the first harvest date as the earliest you can hope for: out of season, the crop will likely take longer. Then choose: move the field planting date back into the good weeks, give the planting some protection such as a tunnel, or keep the date knowingly for an early or late crop you are ready to gamble on. Does each planting of a succession get its own days to maturity?

Accepted Answer

Yes, with Use climate-adjusted DTM on: each planting gets the days to maturity of its own date, so your April and July sowings no longer share one number and each harvest lands on the right week. Without it, every planting of a succession keeps the same days to maturity. Each planting takes over from the one before When late plantings fall outside the good weeks, the message in the planting window gives the date from which the succession’s days to maturity have been capped , so you know which plantings to question. Why can’t I turn on climate-adjusted days to maturity?

Accepted Answer

Hover the greyed-out Use climate-adjusted DTM switch: Heirloom tells you why in one line, so you know right away what to fix. There are four reasons: Your farm’s latitude and longitude are missing: add them in Settings , General . Heirloom cannot adjust this crop yet. The crop cannot reach maturity in your climate. The crop has no row in your Charts. Once the switch is on, the days to maturity and the First harvest follow the field planting date. See Use climate-adjusted days to maturity in a planting .

How does Heirloom know my farm’s climate for days to maturity?

Accepted Answer

From your farm’s location: Heirloom adjusts days to maturity to the climate where your farm is, day length included, so your harvest dates fit your land, not a seed company’s trial field. There is nothing to measure or enter yourself. It uses your farm’s latitude and longitude, in your profile menu, Settings , General . They are filled in from your address when you set up your farm: check them if your address is a post office box or far from your fields. See How climate-adjusted days to maturity work .

How late can I sow a crop and still harvest before winter?

Accepted Answer

Until the end of the crop’s Optimal Growing Period on your farm, and Heirloom shows you that week on one curve, so your last fall sowings are no longer a guess. In Charts , open Direct seeding or Transplantation , then click the curve icon in the Climate-adjusted DTM column on the crop’s row. One click on the icon opens the crop’s curve The Optimal Growing Period band shows the weeks when a sowing reaches maturity without too much cold, heat or frost, and the Light Frost and Hard Frost bands show your frost dates. How do I adapt Heirloom to a Nordic or short northern growing season?

Accepted Answer

Set Heirloom to your own frost dates, season and climate, and every harvest date in your plan fits a short northern summer, whether you farm in Scandinavia, Finland, Iceland or northern Canada. When you set up your farm, Auto-Fill suggests your frost dates from your address: check them against what you know of your land and correct them. Set Season starts in to the month your growing year begins, in Settings , Season & climate . See Set up your farm . Then turn on Use climate-adjusted DTM in your plantings: days to maturity follow your farm’s own climate, day length included, so the long days of a northern summer are part of the prediction. Because the seed packet gives one average, measured somewhere else, and your crop grows with your weather: the same carrot can take weeks longer sown in cool April than in June. Heirloom fixes that for you: turn on Use climate-adjusted DTM in a planting and its days to maturity follow your farm’s own climate, day length included. The AI assistant’s answer is wrong. What should I do?

Tell it what is missing, and it adjusts: it keeps the conversation in mind, so a second message such as "I mean in the Crop Map, not the Game Plan" often gets you there. Why don’t I see the AI assistant on my phone?

Accepted Answer

The assistant works on a computer, next to your planning work: it is not in the mobile app, nor in Heirloom opened in a phone’s browser. Your phone is for the field: the mobile app lets you check off tasks, record harvests and write notes. Does the AI assistant remember my conversation?

Accepted Answer

Yes, so you can follow up without repeating yourself. It keeps your conversation in this browser as you move from page to page: if an answer is not quite it, say what is missing in a second message. When you change subject, click Clear chat at the top of the window, then confirm: the next question starts fresh. A long conversation also has a limit; when it is reached, the assistant asks you to clear it. Clearing deletes the whole conversation for good The steps are in Ask the AI assistant a question .

Can the AI assistant answer growing questions, like pest control?

No, it is there to help you use Heirloom, so you get answers about the app you can trust. It does not answer general growing questions, such as how to fight flea beetles. For growing, look at the growing data in the Crop Library and at your own notes: a note linked to a crop comes back on every planting of that crop, so last year’s flea beetle observation is in front of you when you plan again. Do I have to explain my farm to the AI assistant?

No: it already knows your farm’s settings and the page you have open, so you ask your question and skip the explanations. Does Heirloom have an AI assistant?

Yes, and it saves you from hunting through menus: ask how to do something in your own words, such as adding a lettuce succession every two weeks, and it answers with the steps and links that open the right page. Click the round robot button at the bottom right of any page, labelled AI Assistant , type your question in Write a message... and press Enter. You stay on the page you were working on. Can I track the germination rates of my seedlings in Heirloom?

Not as a rate, but Heirloom covers the need: a safety margin sows enough for your losses, and notes keep what you observe. The Seeds safety margin adds the extra seeds you expect to lose, and Heirloom counts them in your seeds and trays. For your observations, write a note linked to the planting or the crop, with photos. The note on a seed lot in the Seeds Inventory also has room for a germination test. Does Heirloom suggest nursery conditions like temperature and humidity?

Partly: each crop comes with its germination time and, where Heirloom’s library has one, its optimal germination temperature, so the basics are at hand when you seed. You find them in the Nursery chart of your Charts, in Days to germinate and Optimal germ. temp. , and you can change them to match your nursery. Heirloom gives no humidity or light targets. Does Heirloom add extra seeds for germination losses?

Yes, with a safety margin you set once per crop, so you sow enough for your losses without doing the math. The Seeds safety margin is a percentage. It starts from the Nursery chart of your Charts, where you set it per crop, and you can change it on each planting, in its nursery tab. Heirloom counts those extra seeds in your seeds, your trays and your nursery space. Does potting up count in my nursery space?

Yes, so the bigger pots of your tomatoes and peppers never catch you short of table space. When a planting has a potting up step, added in the Game Plan with Add Potting Up , it moves into its Potting up container and takes that container’s space until transplanting. Why is my list of plantings in the nursery empty?

Accepted Answer

Because it lists what is on your tables today, and nothing is checked as sown yet. Your forecast is already there, in the weekly graph above it. Current plantings in nursery shows the plantings whose nursery sowing is checked and whose transplant is not. While you plan a season that hasn’t started, it stays empty. When you seed, check Nursery sowing in the planting’s Quick actions , or the task in Tasks, and the planting appears with its container and the space it takes. Why does the Nursery show seedlings that are already in the field?

Because their transplant isn’t checked off yet. Check it, and the Nursery shows your real tables again, with the room you really have left. The Nursery follows your tasks: a planting is on your tables from its checked nursery sowing until its transplant is checked. Mark the transplant task as done in Tasks, or check Transplantation in the planting’s Quick actions in the Game Plan. Why does my Nursery graph stay empty or show too little space?

Almost always, one of three settings is missing. Fix it once and the graph fills in from your plan, with nothing to enter week by week. Your Nursery space is set, in the box next to the graph. Each container in Farm data > Nursery containers has a Container width and a Container length . A container without them takes no room in the graph. Is my nursery space set per season?

Accepted Answer

No, you set it once for the farm and it holds for every season: one less thing to redo each year. To change it, click the figure in the Nursery space box next to the graph, type the new surface and confirm with the check mark. Looking at a past season, the box shows your Peak nursery usage for the season instead: the fullest week you had, useful before you decide to build another table. Can I add my own trays and pots, and hide the ones I never use?

Yes: add the containers you really use, hide the rest, and your plantings only offer the formats on your shelves. Open Farm data , then Nursery containers , and click Add container . Give it its Number of cells , Container width and Container length , such as a 200-cell tray or a paper pot chain. It then shows in your plantings’ container list. Without width and length, its trays take no room in the Nursery graph. To hide a format you never use, turn off Visible : it leaves your lists without being deleted, and you can turn it back on any time. How do I calculate how many trays I need for my nursery?

Heirloom counts them for you from your plan, so you buy the trays you need and not one more. Open the Nursery , tab Containers : each row is a tray or pot size. Projected peak usage is the most trays of that size on your tables at once, the number to own. Total use is how many you fill over the season, the number to wash and seed. Open a row to see which crops use it. The peak is the number of trays to own More in Forecast your nursery space and trays .

How do I plan a seedling sale or plant nursery?

Plan the seedlings you sell like any other planting, and Heirloom shows the revenue your plant sale should bring, next to the rest of the farm. In Charts > Crop yield , open the Nursery Harvest tab and give each crop you sell as seedlings a yield and a price per tray or pot. In the Game Plan, add a planting of that crop and choose the container growing method under Planting method : its harvest and revenue come from your Nursery Harvest prices. Watch the Nursery : week by week, it shows how much table space your plan needs, so you see whether the sale fits on your tables. How do I calculate greenhouse space for seedling trays?

Heirloom works it out from your plan: week by week, you see how much of your tables your seedlings need, and you spot the week your nursery overflows before spring, not in the middle of it. Enter your usable table space once, shelf levels included, and give each tray its size in Farm data > Nursery containers . The Nursery then shows a bar for each week, as a share of your tables; hover a week to read the Area needed in square metres. The figure turns orange from 95% and red from 100%. When a week goes over, move a succession a week earlier or later, sow in trays with more cells, or plan a temporary table or a cold frame. The graph follows as soon as the plan changes. What happens to my notes if I delete a planting, crop or block?

Nothing you wrote is lost: the note stays, and only the link to the deleted item goes. If the note matters beyond one planting, link it to the crop as well, with Crops : a crop outlives every planting of it, so the observation keeps coming back. See Link a note to a planting, crop or block .

Why can’t I link my note to a planting from last season?

Select plantings lists the plantings of the season you are viewing. Switch to last season with the season picker in the top bar, and its plantings are there to link. For an observation that should outlive one season, link the crop too, with Crops : the note then shows on every planting of that crop, this year and the next. Why can’t I find a note I wrote?

Accepted Answer

Usually a filter is still on: Heirloom keeps your search and filters when you come back to Notes, which saves time until you forget it. Check, in this order: Click the filter button and Clear all to bring every note back. Archived notes only show with the Archived filter. Search looks in titles and text, and the first letters of a word are enough: aph finds aphids. Tags and links are not searched: pick them under Linked items in the filters. Combine a status with what the note is linked to See Find a note .

What is the difference between archiving and deleting a note?

Accepted Answer

Archiving clears a note from your list and keeps it for the day you need it again; deleting removes it for good. Archive takes the note out of your list. Turn on the Archived filter to see it, open it and click Unarchive to bring it back. Delete is permanent and cannot be undone, so archive anything you might want next season. Can my team see my notes, or can I keep some private?

Your whole farm team sees your notes by default, so everyone works from the same observations. You can keep any note to yourself. While editing, click the lock icon ( Make private ): only you can then see, change or delete the note, and a small lock marks it in the list. Make public shares it again. The Private notes filter lists yours. Pin, keep private, copy, archive or delete, from the top bar See Organize your notes with tags, pins and archives .

Can I attach a PDF or a soil test to a note?

Accepted Answer

Not a PDF, but a photo of the page does the job: your soil test then sits with the block it is about, where you will look for it. A note takes up to five photos, in JPG, PNG or WebP, up to 2 MB each. Write the key figures in the note too, such as pH or organic matter, so a search finds them, and link the note to the block with Blocks . A title that says what and where, then drop your photos below See Write a note with photos .
